What is a Record Report?

Reporting on whether or not a Course/Age Group/State/Other record is broken is a common ask for races. Oftentimes this indication is shown on the Age Group report or is tracked internally by the Race, while other times the race may have a high possibility for a certain record to be broken - think a little-used distance like a 30K - and automated reporting on the record status is a time saver.


What considerations need to be made for this report?

Because there are relatively high stakes for any kind of record reporting, several considerations should be made in the setup and execution of a Record Reporting scenario:


  • Regardless of the audience for the report, it is imperative that the timer confirms whether the reports are based on Clock or Chip time. This will determine how the Data Actions are built.

  • If the Record is to be used for a certified course, distance, or any record external to the Race and Event, following the guidelines of the governing body for the sport (USATF, USAC, USAT etc.) is very important, and the Timer should be aware of the setup rules and documentation requirements dictated by that organization.

  • It is always a good practice to have a secondary method of confirmation for these records, and depending on the circumstances documentation of this method and result may be required as part of the verification process. 



How to set up a Record Report

Setting up a report on records requires a Data Action for each record based on specific parameters - for example an overall Male record may only require the Registration Event and Gender of a participant, while an Age Group record would require the parameters that determine the age range for the record. Keep in mind that the age range for the record may be different than the Age Groups used for scoring the Race.


To report on Records, set up a Custom Field in the Sync Settings

Then set up a Data Action that will populate the Custom Field with Yes. It is worth noting that the parameters will be highly dependent on the specific Race or Record, and that the Action Trigger that is used will be different than the example below.

To add this field to reports, edit the desired report and add the column:


This column is especially useful in the Age Group report


Building this type of reporting out for multiple Age Groups and Events will take time, and being aware of the limits of this report is important. For example, anyone who is registered in the 5K, is a Male, and ran a chip time under 15:20 would be marked “Yes” in this scenario.
